HR Administrator
London

An exciting opportunity has arisen to join the Benoy HR team as an HR Administrator based in London.  You will have previous experience working in an HR department, love admin and ideally have experience working with Oracle.

 

The role promises to be varied and exciting, with the below responsibilities:

  • New Starters - create and issue employment contracts, create personnel files (hard and soft copies), collate and chase for relevant paperwork including copies of passports, P45s, etc, update all fields in Oracle Fusion with new starter details.

  • Liaise with your HR team on the induction process.

  • Provide employees with reference letters for accommodation, mortgages etc when requested. Providing references for ex-employees.

  • Process and update systems including all employee changes. Undertake filing and archiving activities.

  • Issuing and processing probation forms and providing basic advice to managers

  • Working with payroll each month to ensure any starters, leavers and changes to employment are captured each month. Be the backup for payroll and cover while the payroll person is on leave.

  • Assist in the company’s annual salary and performance review process by supporting the administrative process (June and December each year).

  • Support the business with enquires relating to HR Oracle Fusion

  • Cleaning and maintaining personnel files both hard and soft copies.

  • Create monthly annual leave/sickness reporting

  • Write Maternity letters based on templates, flagging to the Office Managers and payroll.

  • Ensure the leaver process is completed accurately on HR Oracle Fusion and ADP, issue letters and organise personnel files accordingly. Ensure that all relevant departments are notified of leavers as appropriate.

  • Run ad hoc reports.

  • Assist the HR team with projects and ad-hoc tasks.

  • Responsible for fully complying with the company’s policies and procedures.

  • At all times acting in the company’s best interests and in the best interests of those entities which we represent.

 

 At least 3 years’ experience in a commercial environment with great administrative skills

  • A tertiary degree - preferable

  • Good Microsoft Office skills and understands systems.

Office Manager
London

Benoy is seeking an experienced Office Manager in our London Studio who enjoys being in the world of Architectural design.

You will work in a dynamic, inclusive team where your work will form an essential component of the Benoy brand.

You will have direct correspondence with high profile clients and internal stakeholders and will be responsible for delivering a professional service 

You will be responsible for running the London Studio’s smoothly:

Provide a professional and managerial support service to the Directors of the London Studio and the Satellite Studio – Ropemaker Street.

Ensure each employee has a safe, comfortable and productive environment to work in. Ensure the office is compliant with all Health & Safety policies, procedures and documentation, undertake an annual risk assessment and implement any recommended changes.

Manage the outsourced cleaners contract

Manage the receptionist/support staff within a matrix model with the  project administrators

Procurement of vendors for building related maintenance. Working with finance to negotiate contracts and cost. Oversee the maintenance work on the day and sign off with contractors.

Manage and plan any desk and floor changes

Ability to change and arrange things at quick notice

Maintain the set up VCs, Webex and other technology requirements for each meeting room

Allocate security passes for employees in the London Studio and manage the security system for the London Studio

Be available out of office hours for building related emergencies

  • Working with a project team of architects to produce visuals in conceptual, diagrammatic and fully polished visual styles. The ideal applicant will be able to start right away without training.
  • The applicant will be surrounded by other visualisers working on other projects and technologies. This is a fun, vibrant and constantly evolving place to work.
  • The ideal candidate will be able to provide examples of their work via email that they have completed by themselves.
  • A working knowledge of architecture is not mandatory but desired.
  • Flexible work ethic, to stay behind and get the job done when needed.
  • Unreal Game engine experience also not a requirement but beneficial for future development.
